The procurement organization is the subrange of an enterprise, which is responsible for production for holding the materials ready. In addition count raw materials, auxiliary materials and fuels. Beyond that in some cases also to make available the materials (materials and operational funds), the personnel and necessary finances procurement one calls. The last two sizes are added usually however to the personnel management and the finance management.

Organization forms

Organizational thus the mechanism of a specialized place between centralized procurement, which the procurement for all users is incumbent on, can, and decentralized procurement, with which each user possesses his own procurement office, to be differentiated.

The advantages of a central organized procurement are in the possibility of being able and the working on costs per order of reducing to obtain by larger order quantities better payment and delivery terms. The position is strengthened by larger purchase power opposite the suppliers. Central procurement is suitable particularly for goods, which are needed by several users.

On the other hand lead central placing to higher administration expense and to a smaller overview of the requirements of the individual users. Much can be adjusted however today with the means of the EDP: Like that is possible the allocation of the requested material to the individual departments (important at profit centers) also with central procurement office.

Special forms of the procurement organization:

A special form of the centralization is present, if by the education by purchase co-operation or the engagement by purchasing agents and Buying Agents the procurement totally or partly to external places one delegates.

The establishment of purchase addresses to usually switch with the intention the intermediate trade off forms a special form of the spatial decentralization.

In principle there is not the optimal procurement organization for an enterprise. Decision makers can strive only to find for competitive procurement structures and selected supplying strategies realize the organization form suitable for their enterprise. These must correspond to the criteria of economy and the cost minimizing.

Factors thereby to consider are:

  • Size of the enterprise
  • Industry affiliation
  • Produktionsstrukturen
  • Choice of location
  • Communication structures

Principles of the procurement

A supply procurement

Here relatively large quantities of camps are taken and are available on call. The camp serves as buffer.

Advantages:

  • each-early stock availability (commercial enterprise)
  • no production interruption (production enterprise)
  • economical purchase in large quantities
  • favorable purchase time can be waited for

Disadvantages:

  • high capital freeze
  • high interest and storage costs
  • Danger of the obsolescence and the reduction in quality of the existence

B - Single procurement if necessary

In this case the procurement takes place only then if the order were received. It is usually frequent during individual manufacture or with furniture dealers, who issue only samples and which only manufacture commodity if an order is accepted.

Advantages:

  • short duration of storage
  • small capital freeze

Disadvantages:

  • no immediate supply and/or production readiness

C - Paragraph and/or manufacturing-synchronous procurement ("just in time ")

The necessary goods or materials are delivered as scarcely as possible before their sales or their processing (= just in time). The camp is limited to small safety stock amounts. Basic agreements are locked over large quantities and usually high conventional penalties for the disregard of the very short call periods are agreed upon. Thus the advantages of the supply procurement and the single procurement are to be combined if necessary. Problems result in the case of this procurement principle, if the need results irregularly.
