Enterprise content management (ECM) are the technologies to the collection, administration, storage, retaining and supply of content and documents for the support of organizational processes.

ECM, Enterprise content management, is a modern technical term, which is to describe products, solutions, a market and an industry. The designation Enterprise content management consists of three single terms, which have a special meaning in this combination. Enterprise stands for enterprise far in the sense of a uniform solution usable of all involved ones in the enterprise. Content stands for arbitrary contents in electronic systems. Management is used in the sense of a software system and stands for the administration, processing and control of systems. Several attempts were undertaken to transfer the term Enterprise content management into the German language e.g. "Enterprise content administration" or "enterprise contents management". All attempts suffer under the fact that they do not meet the core of the concept of ECM and in addition even as a word component contains not defined Anglizismen. In addition a transmission is not necessary, since the term Enterprise content management and the associated acronym ECM in Germany was established.

Definition

The recognized ECM definition comes from the branch federation AIIM international: Enterprise content management are the technologies to the collection, administration, storage, retaining and supply of content and documents for the support of organizational processes. ECM includes thereby conventional technologies such as input management, document management, Collaboration, Web content management, Workflow, Business Process management, output management, STORAGE and electronic archiving. ECM is a subsection of the information management and concerns itself with priority with weak-structured or unstructured information, which is called also documents or content.

Particularly Internet changed the past document term and the associated solution offers. One speaks modern of content and the pertinent systems such as content management, Web content management or Enterprise content management. Document and content have a different quality, one can the terms not synonymously use. With content the closed character of the electronic document is dissolved. Enterprise content management is only one of the various terms in the surrounding field content of the management. Enterprise content management has the requirement to include also Web content management with (see the ECM components). However one must state content management also in view of the all-comprehensive requirement and the countless components of Enterprise that ECM can serve an industry if necessary as vision, strategy or designation - a closed system approach or an individual product is not ECM. One can position therefore ECM equivalently to DRT document Related Technologies or DLM document life cycle management (document Lifecycle management) only as a possible recapitulatory group designation for the different technologies, product beginnings and enterprises.

The term ECM Enterprise content management contains the word combination content management and overlaps so at the same time with the requirement of content management. Before one can turn to a definition of ECM, therefore first the term content management (cm) and the demarcation must be regarded to the Web content management (WCM).

Content management (cm)

If one goes to the roots of the term content management, then one must state that already the term in Angloamerikani (: EN: Content) is not clearly understandable (a fundamental problem is here the demarcation of the terms data, information, content, document and knowledge both within a language and between languages like e.g. German and English). Content is not simply a redefinition of the conventional document term. Content is in principle everything which at contentwise information in systems is reproached. Even the conventional demarcation between un or weak-structured data does not seize with the term content any longer.

Content is administered today with data bases and the border between structured data records and unstructured content is long smeared. There are however characteristics for electronic content, which differentiate these from other forms of contents with respect to electronic systems.

Definition "content "in the context of the Enterprise content management of concept

Content (English for contents) is information in more structured, weakly more structured and in unstructured form, which is made available in electronic systems to the use.

  • Structured content are data, which are made available in a standardized layout from data base-supported systems (e.g. formatted data records from a data base).
  • Weakly structured content are information and documents, which carry partially layout and meta data with itself, are however not standardized (e.g. text processing files).
  • Unstructured content consists to be opened of arbitrary information objects, their contents not directly can and those not a separation from contents, layout and meta data possesses (pictures, GIFs, video, language, facsimile etc.)
  • Content always consists of contents and the associated Meta information. These Meta information does not have to be visible for the user necessarily. They serve for with priority to the administration and control of actual contents. Important component of CMS content management systems is therefore the separation from layout and structure information from actual contents.

    For this task wins XML, eXtensible Markup LANGUAGE, as universal specification language ever more meaning, without the use of XML for interfaces and document formats is to be today already rated as fundamental characteristic.

  • the administration of content (content management in the closer sense),
  • the supply of content (presentation, distribution),

  • Content management in the closer sense designates only the program-supported administration of contents of (data bases, archives etc.).

    The terms content management, content management system and CMS are frequently undifferentiatedly used by offerers and users. During the view of the topic content management therefore content management of systems as well as two special developments between the general category CMS, which WCMS Web content management systems and ECMS Enterprise content management systems are differentiated, must. They have different origins, differente functions and a very different requirement.
