The actual state inventory (also actual condition called) is a designation from management economics and project management and represents an important phase of the procedural model, which the objective determination of a current problem ("is") - if possible without evaluation or distortion - serves. The valuation takes place in the following phase of the actual criticism. Since an actual state inventory is usually time and cost-intensive, for possibilities one searches to minimize this expenditure.

The option well-known as renouncement thesis does without an actual state inventory with the reason that the knowledge of the status can contribute quo few to problem solution. The renouncement thesis accepts thereby the risk of a not conversionable solution consciously.

The obligation thesis however explains the actual state inventory for indispensable. The actual state inventory must supply as qualitatively as possible high-quality and meaningful results with lowest possible expenditure, in particular to costs with.

As methods - with increasing cost intensity - the document analysis (secondary elevation) and the different methods of the primary elevation are available:

• Self-recording,
• Questionnaire,
• Questioning,
• Observation, in particular the multi-moment study.

It applies to collect extensive data over the selected range without ignoring the goal of the project (specified condition) and not to arrange the actual state inventory more extensively than necessary. Therefore a trade off is to be recognized here: On the side a too simple, superficial actual state inventory leads to the fact that possible problems cannot be uncovered. On the other side a too exact collection can lead to the fact that one is not able to recognize due to to many received data actually at the basis the lying problems of the organization no more ("one does not see the forest before loud trees! ") or too much time with the collection of insignificant data loses.

Sources of the actual state inventory represent coworkers and managers in addition, documents, calculations, letter etc. Contents of the actual state inventory can be for example work times, turn-around times, waiting periods, costs or also the time of the work execution and the like. Contents will be dependent always on the organization and the cause of the analysis.

For the representation of the results differently forms are suitable by diagrams, lists, a decision table or also an information flow plan and an everything which for are suitable representing the result in the best possible way. Here must be paid attention in particular to represent the substantial information in order to always have in the further phases of the procedural model the problems and conflicts of the existing system before eyes.
